Nature of engagement: Volunteer contract

Duration: From April 2026 until the end of the project in December 2027.

Department description:

The objectives of the Ceremonies Department during the 26th World Scout Jamboree in 2027 are as follows:

· To create an inspiring, Scout-spirited, functional, and safe Arena within the Jamboree site in 2027.

· To produce the Opening Ceremony of the World Scout Jamboree in Poland – a celebration that honours the history and 120th anniversary of the global Scouting movement, promotes its values and openness, and showcases the culture and energy of the host country, Poland.

· To produce the Closing Ceremony of the World Scout Jamboree 2027 in Gdańsk – serving as a summary of the event, spreading the Jamboree theme “Bravely” through action, and marking the handover of the WOSM flag and the beginning of preparations for the next Jamboree in 2031 in Denmark.

· To provide a stage space for the organisation of other program events held at the Arena during the Jamboree – including the interreligious ceremony and the Arena Show.

What you should expect

Responsibilities

The Production Manager is responsible for translating the Opening Ceremony vision into a real, safe, and perfectly synchronized show for tens of thousands of participants-overseeing teams, budget, technical delivery, and end-to-end operations.

1. Production Planning & Strategy

  • Developing a comprehensive production plan for the Opening Ceremony (timeline, phases, milestones)
  • Co-creating schedules for rehearsals, build-up, and show day
  • Translating the creative vision (direction, script) into an operational plan – in close collaboration with the Director and Head of Technical Production

2. Production Team Management

  • Building and coordinating the production team (production, technical, logistics, stage management)
  • Managing vendors and subcontractors (stage, lighting, audio, multimedia, special effects)
  • Overseeing technical, logistical, and operational teams
  • Collaborating with volunteers (IST – a key operational force of the Jamboree)
  • Ensuring clear communication across departments (creative ↔ production ↔ operations)

3. Budget & Cost Control

  • Managing and controlling the production budget
  • Negotiating with suppliers and partners
  • Monitoring expenses against the planned budget

Commitments 

  • attend department meetings, which will be mostly virtual
  • attend JPT meetings – about two in-person meetings per year, and several virtual meetings
  • follow up promptly to communication by email and on our internal platform, Slack
  • Have two to three hours available during the week. The workload is unlikely to be evenly distributed, with some more intensive periods of activity, so this is an average.
  • Arrive at the Jamboree site several days before the event and stay one or more days after contingents leave. The jamboree will take place between 30th of July and 8th of August 2027.

Formal requirements 

This position is open only for Polish candidates. The reason for restricting this opportunity to Polish candidates is the need for an in-depth understanding of the Polish regulations, legal framework and its application.

Applicants from Poland should meet the following requirements:  

  • active membership in the Polish Scouting & Guiding Association (ZHP)  
  • completed leader’s service in the previous year and an opinion of the relevant Regional Commissioner or Chief Commissioner (Komendant Hufca / Komendant Chorągwi / Naczelnik ZHP) 
  • positive experience of projects at least at regional level (domestic)  
  • ability to communicate freely in spoken and written English
