  • River Module, Member of Off-site Programme Section (Venue Management department)
  • City Module, Member of Off-site Programme Section (Venue Management department)
  • Beach and Forest Modules, Member of Off-site Programme Section (Venue Management department)

Nature of engagement: Volunteer contract

Duration: From December 2026 until the end of the project in December 2027.

We are seeking for 3 enthusiastic and highly organised members to join our Off-site Programme Section – Venue support team for the 2027 World Scout Jamboree in Poland. We have 3 different roles available (see below).

Department description The Venue Management Department is responsible for ensuring that all key shared venues and services across the Jamboree site are safe, well-equipped, and operationally effective. This includes planning and managing common areas such as the Plaza, Programme modules, Welcome Area, AmberExpo, among others, as well as overseeing essential shared services such as the Jamboree Post Office and Lost & Found. Due to the cross-sectional nature of its functions, the department pro-actively collaborates with other departments (e.g., Site, Programme, Accreditation, Guest Services, Ceremonies departments).

What you should expect

The 3 different roles are described further below. Please indicate in your cover letter one or more roles that you are interested in.

Who is a Venue Member? The Venue Member is responsible for the planning, coordination, and operational delivery of one or more designated venues at the World Scout Jamboree; for this call, we are specifically looking for Programme module venue support. Working in close collaboration with key stakeholders, including relevant functional departments (e.g., Programme) and the Jamboree Site Department, the role designs functional and engaging module layouts, identifies major infrastructure requirements, and plans large equipment, facilities, and utilities, ensuring that all modules are fit for purpose and fully integrated into the overall site plan for smooth and efficient preparation. During the event, the Venue Member, together with the involved departments, leads the venue implementation and ensures the smooth day-to-day operation of the assigned module, supported by a dedicated team of International Service Team (IST) members, overseeing module technical operations (not programme delivery) to ensure high-quality participant experiences and effective problem-solving in a dynamic event setting. The role requires both strategic planning and hands-on management, ensuring that all assigned modules operate smoothly and deliver high-quality support to participants and others working on the module.

The dedicate Programme Module Venue Members will closely work with and report to Off-site Programme Venue Lead and the Co-heads of the Venue Management department.

What are the Programme module venues about?

  • River module. The River module engages participants in water-based activities such as kayaking and sailing, combined with learning about maritime history and environmental conservation, with an emphasis on teamwork, water safety, and protecting aquatic ecosystems. As Venue Member, your focus is not on the programme content but on ensuring the waterside venue and large infrastructure are safe and ready for use: preparing marinas, helping manage watercraft and safety gear. You’ll work closely with programme facilitators to ensure the site and equipment support each activity safely, while taking full ownership of the logistics that keep the riverside location running smoothly throughout the module.
  • City module. The City module takes participants through Gdańsk’s historical landmarks, museums, and vibrant city life, using interactive challenges and guided tours to bring Poland’s culture and heritage to life. As Venue Member, your focus is not on the historical or cultural content but on coordinating tents and shades and equipment in public urban spaces, and supporting participant safety amid traffic, pedestrian areas, and busy tourist sites. You’ll work closely with programme facilitators to make sure each location is accessible, on schedule, and properly set up for the guided tours and challenges taking place there.
  • Beach module (one position together with Forest). The Beach module brings participants to the seaside setting of Wyspa Sobieszewska for a programme of team sports and mindfulness activities focused on physical fitness and mental well-being. As Venue Member, your role is not to design or deliver the programme content, but to ensure the venue itself is safe, functional, and ready to support it: securing and preparing the beach space, coordinating equipment and infrastructure (shade, seating, signage), and overseeing risk factors specific to a coastal environment (e.g., weather, sun exposure, water safety). You’ll work closely with the programme facilitators to ensure the space meets their needs on the day, while taking full ownership of the logistics that make the location run smoothly and safely for all participants.
  • Forest module (one position together with Beach). The Forest module offers Scouts a hands-on experience in traditional outdoor skills, covering bushcraft, woodcraft, pioneering, and campcraft, ncluding fire-making, knot-tying, shelter-building, and pioneering projects. As Venue Member, your focus is not on teaching these skills but on preparing and running the forest module so the programme can happen safely and smoothly: marking out activity zones, ensuring safe access through wooded terrain, tents, sanitation, waste management. You’ll also oversee risk management specific to a woodland setting (e.g., uneven ground, wildlife) and work closely with programme facilitators to make sure the site is fully equipped and safe for every activity on the schedule.

Responsibilities:

  • Coordinate the planning of the dedicated programme modules, including module layout, large equipment needs (e.g., tents), utilities and other facilities (e.g. waste management, sanitation), as well as staffing and workflows (e.g. IST requirements).
  • Work closely with relevant departments (esp. Programme), translating their operational needs into specific module infrastructure, and acting as an intermediary between those departments and the Jamboree Site Department, other stakeholders.
  • During the World Scout Jamboree, manage and support a diverse team of ISTs to ensure modules are operational and proactively maintained (e.g. fixing simple issues or reporting larger issues to maintenance teams).
  • Ensure all modules meet health, safety, and sanitation standards.

Applicant Profile

  • Venue Management Experience: Proven experience organizing or managing venues at large-scale events.
  • Team Leadership: Experience in leading and supporting volunteers teams.
  • Planning and Coordination: Strong ability to develop and coordinate the execution of operational plans.
  • Stakeholder Collaboration: Ability to work closely with multiple departments and partners.
  • Problem Solving: Practical and creative approach to managing real-time operational challenges.
  • Communication: Excellent interpersonal and communication skills, with proficiency in English.
  • Scouting Knowledge: Familiarity with the international Scouting environment and values is an advantage.

Personal Attributes

  • Organized and detail-oriented.
  • Cooperative and team-minded, able to coordinate across departments.
  • Service-oriented, with a focus on participant experience.
  • Committed to Scouting values and the spirit of international cooperation.
  • Flexible and adaptable under changing conditions.
