Job title: IST Coordinator for Jamboree, Safety and Security Department

Nature of engagement: Volunteer contract 

Duration: From June 2026 until the end of the project in December 2027  

Department description: 

As an IST Coordinator, you play a vital role in supporting members of the International Service Team (IST) assigned to the Jamboree Safety and Security Department. You ensure they are effectively trained, warmly welcomed, and consistently valued for their contributions.

What you should expect

Responsiblities:

* Lead the orientation process for IST members, ensuring a smooth and welcoming introduction to their roles and responsibilities.

* Collaborate with the training team to design, develop, and implement effective training programs that prepare IST members for their duties.

* Oversee and coordinate the onboarding process to ensure all members feel integrated, informed, and supported from the outset.

* Provide continuous support, mentorship, and guidance to IST members throughout the Jamboree.

* Foster a positive, inclusive, and collaborative environment that promotes teamwork and engagement. * Work closely with cross-functional teams to ensure seamless coordination and integration of IST members into operations.

* Monitor member well-being and overall experience, proactively identifying and addressing any issues or concerns.

* Ensure a high level of satisfaction among IST members by maintaining open communication and responsive support systems.

Applicant Profile

Knowledge and skills: 

  • Volunteer Coordination: Proven experience in coordinating and training volunteers, ensuring they are well-prepared and supported in their roles. 
  • Organizational and Leadership Skills: Strong organizational abilities and leadership qualities to manage and guide the IST members effectively. 
  • Communication and Interpersonal Abilities: Excellent communication skills to interact with volunteers and staff, fostering a positive and inclusive environment. 
  • Multicultural Competence: Ability to work effectively in a multicultural and dynamic environment, respecting and integrating diverse perspectives. 
  • Passion for Volunteerism: A genuine passion for volunteerism and creating positive experiences for team members. 
  • Departmental Knowledge: Familiarity with the Jamboree Site Department’s focus areas (Water, Power, Network, Waste, Warehouse, Tents, and Site Layout) is a plus. 
  • Previous Jamboree Experience: Having been an IST member or a Planning Team member at a previous Jamboree is a plus. 
  • Project Management: Skills in assisting with planning, executing, and overseeing projects, including resource allocation, scheduling, and risk management. 
  • Competence and Professionalism: Demonstrating a high level of competence and personal culture. 
  • Volunteer and Staff Collaboration: Ability to work effectively with volunteers and staff from the organization’s international structures. 
  • Team Collaboration: Ability to collaborate and build positive relationships with colleagues. 
  • Group Work: Ability to work effectively in a group setting. 
  • Objective Achievement: Proven track record of achieving stated objectives. 
  • Technical Proficiency: Knowledge of Outlook 365, MS Word, Excel, and SharePoint operations. 
  • Organizational Skills: Strong organizational abilities to manage various tasks and responsibilities efficiently. 
  • Distributed Team Experience: Experience of working in a distributed team. 
  • International Environment Experience: Experience of working in a constantly changing international environment. 
  • People-Oriented Approach: A people-oriented approach to effectively manage and support team members and participants. 

Formal Requirements:

Applicants from Poland should meet the following requirements:  

  • active membership in the Polish Scouting & Guiding Association (ZHP)  
  • completed leader’s service in the previous year and an opinion of the relevant Regional Commissioner or Chief Commissioner (Komendant Hufca / Komendant Chorągwii / Naczelnik ZHP) 
  • positive experience of projects at least at regional level (domestic)  
  • ability to communicate freely in spoken and written English  

Applicants from abroad should meet the following requirements:  

  • Active membership in one of the organisations belonging to the World Organization of the Scout Movement (WOSM)  
  • a favourable opinion from the International Commissioner  
  • positive experience of projects at international level  
  • ability to communicate freely in spoken and written English
