Role Description

Job title: Deputy Team Lead, Safety and Security Department, Jamboree Planning Team

Nature of engagement: Volunteer contract 

Duration: From June 2026 until the end of the project in December 2027  

Department description: 

Deputy team leads in the Safety and Security Department will be tasked with supporting the design and delivery of a comprehensive safety and security program for the jamboree site and jamboree participants. Deputy team leads will initially be assigned to the Site Security Section, the Guest Services Section (Gaia’s Guardians) or the Safety Training Team so there will be multiple positions are available. 

 

What you should expect

Responsibilities:

Site Security Section 

  • Support the implementation of a security program for the jamboree site. May serve as a section deputy leader or as a shift leader for on-site jamboree operations (including the Patrol Team). 
  • Coordinating with other departments, organizaitons and external partners 
  • Act as a team leader in the absence of the team leader. 
  • Support management of incidents during the jamboree. 
  • Serve as an on-call duty officer on a rotating basis. 

Guest Services Section (Gaia’s Guardians) 

  • Support the team lead of Gaia’s Guardians. 
  • Act as team leads in the absence of the Team Lead 
  • Lead the guardian teams and provide guidance to situations that may arise. 
  • Serve as an on-call duty officer on a rotating basis. 
  • Support management of incidents during the jamboree. 

Safety Team Training 

  • Designing and delivering a comprehensive training program for the “Guest Services” Team.  
  • Designing and distributing a comprehensive training program for use by the contingent teams to support contingent preparations.  
  • Recruiting and managing a Jamboree training team. 
  • Will be assigned to operational support roles within the Safety and Security Department after the conclusion of training phase. 
  • Supporting all training needs within the Safety and Security team.

Commitments:

  • Availability to travel to Jamboree site/Poland (min. 2 times/year), or attend the JMT meeting 
  • Regular meetings as required to support the development of your team 
  • Monthly department meetings to share developments among the wider team. 
  • 2 hours a week developing and growing the team and its policies/procedures. 

 

  

Applicant Profile

Knowledge and skills:

  • Logistics Skills: strong logistics skills, including the ability to plan, organize, and coordinate various activities and resources within the Safety and Security Department.
    This involves managing supplies, equipment, and facilities efficiently, as well as ensuring smooth operations during the event. 
  • Excellent Planning Abilities: ability to develop detailed plans for setting up and managing the activities, taking into account factors such as current standard practices. 
  • Leadership Experience: Proven ability in leading teams, preferably in a scouting or event management context. 
  • Person management skills: proven ability to lead a team of diverse backgrounds and cultures. Being able to inspire a team to high levels of performance. 
  • Event Management Skills: Experience in organizing large-scale events, including planning, execution, and post-event analysis. 
  • Operational Management: Experience in managing operations, including resource allocation, maintenance, and coordination. 
  • Problem-Solving Abilities: Strong analytical and problem-solving skills, with the ability to handle complex logistical challenges. 
  • Communication Skills: High communication and interpersonal skills, capable of working with a diverse team and managing external relationships. 
  • Scouting Knowledge: Familiarity with scouting principles and experience in scout events is highly desirable. 
  • Previous experience with WeTrack software or similar project management tools. 
  • Knowledge of Outlook 365, MS Word, Excel, operation of SharePoint. 
  • For SAF training deputy: all the above applies + Technical knowledge in Safety and Security in large scale events and experience in designing and delivering training.

Formal requirements:

Applicants from Poland should meet the following requirements:  

  • active membership in the Polish Scouting & Guiding Association (ZHP)  
  • completed leader’s service in the previous year and an opinion of the relevant Regional Commissioner or Chief Commissioner (Komendant Hufca / Komendant Chorągwii / Naczelnik ZHP) 
  • positive experience of projects at least at regional level (domestic)  
  • ability to communicate freely in spoken and written English  

Applicants from abroad should meet the following requirements:  

  • Active membership in one of the organisations belonging to the World Organization of the Scout Movement (WOSM)  
  • a favourable opinion from the International Commissioner  
  • positive experience of projects at international level  
  • ability to communicate freely in spoken and written English
