Duration: From December 2026 until the end of the project in December 2027.  

Department description The Venue Management Department is responsible for ensuring that all key shared venues and services across the Jamboree site are safe, well-equipped, and operationally effective. This includes planning and managing common areas such as the Plaza, Program modules, Welcome Area, AmberExpo, among others, as well as overseeing essential shared services such as the Jamboree Post Office, Lost & Found, and Information Points. Due to the cross-sectional nature of its functions, the department pro-actively collaborates with other departments (e.g., Program, Accreditation, Guest Services, Ceremonies departments). 

What you should expect

  1. The Food Houses Coordinator is responsible for overseeing the planning, setup, and day-to-day operation of the Food Houses area within the Plaza, ensuring it runs smoothly as a space where participants can access diverse dining options throughout the Jamboree. This includes coordinating space allocation, layout, and logistical requirements, as well as liaising with the Food Services and Jamboree Site departments to translate operational needs into practical venue arrangements, such as utilities, equipment, and waste management. During the event, the Coordinator manages and supports the ISTs assigned to the area, ensuring food houses are properly maintained, operational, and responsive to any issues that arise.  Together with Food Services, the Food Houses Coordinator works to ensure the area upholds health, safety, and sanitation standards while fostering a well-organised environment that supports a positive dining experience for participants. The actual selection, menu, and culinary content of the Food Houses is the responsibility of the Food Services department and contingents running the Food Houses.
  2. The National Pavilions Coordinator is responsible for overseeing the planning, setup, and day-to-day operation of the National Pavilions area within the Plaza, ensuring it runs smoothly as a space for participating contingents to showcase their culture and Scouting. This includes coordinating the space allocation, layout, and logistical requirements, as well as liaising with Contingents Relation and Jamboree Site departments to translate pavilion needs into practical venue arrangements. During the event, the Coordinator manages and supports the volunteers and ISTs assigned to the area, ensuring pavilions are properly maintained, operational, and responsive to any issues that arise. The role also involves acting as the main point of contact for National Contingents regarding their pavilion space, addressing concerns, and helping resolve conflicts or logistical challenges as they occur. Throughout, the National Pavilions Coordinator works to ensure the area upholds health, safety, and sanitation standards while fostering a welcoming, well-organized environment that reflects the diversity and spirit of the Jamboree. The actual content and program of the National Pavilions is the responsibility of the Contingents Relation department.
  3. The Plaza Stage Coordinator is responsible for the setup and day-to-day management of the Plaza Stage, ensuring it operates smoothly as a shared venue for a variety of programs and activities throughout the Jamboree. This includes creating and overseeing the stage’s booking system, coordinating a shared calendar that accommodates both pre-planned bookings – such as Programme and Guest Services departments’ activities and ad hoc requests from Programme partners (such as NGOs and local governments) or contingents wishing to use the space. While content responsibility for scheduled activities rests with the respective departments (Programme and Guest Services), the Coordinator plays a key role in managing contingent bookings, conducting an initial check-in when contingents request stage time to understand their planned activity, booking straightforward requests directly, and consulting with the Contingents Relation department when there is uncertainty about content. During the event, the Coordinator also works alongside Contingents Relation department, who monitor stage activities in real time and step in if issues arise, helping ensure the stage remains a safe, well-organized, and engaging space for participants and performers alike. 

What is Plaza? The Plaza is the central hub of activity at the World Scout Jamboree, bringing together program, service, and community spaces in one area. It houses spaces for WOSM and National Pavilions, Heads of Contingent facilities, a stage for performances, and community areas like the Faith and Beliefs zone, alongside practical services such as the Info Point, Lost and Found, Post Office, and Convenience Store. It also serves as a media and engagement center, with facilities like Radio FM, and Partner Pavilion Exhibitions. In short, the Plaza functions as the Jamboree’s multifunctional heart – part marketplace, part programming venue, part community hub, coordinated across a number of different departments.

Responsibilities:  

Food Houses Coordinator 

  • Coordinate the planning and management of the Food Houses area, including venue layout, large equipment needs, utilities, and other facilities (e.g. waste management). 
  • Work closely with Food Services department, helping translate contingents, running Food Houses, needs into specific venue infrastructure, and acting as an intermediary between Food Houses, the Food Services and Jamboree Site Department. 
  • During the World Scout Jamboree, manage and support the assigned ISTs within the Food Houses area to ensure it remains operational and proactively maintained (e.g. fixing simple issues or reporting larger issues to maintenance teams). 
  • When needed, assist the Plaza Lead in managing the venue budget for the Food Houses area, ensuring cost-effective use of resources and adherence to financial guidelines. 
  • Ensure the Food Houses area meets health, safety, and sanitation standards, escalating concerns to the respective departments as needed. 

National Pavilions Coordinator 

  • Coordinate the planning and management of the National Pavilions area, including venue layout, large equipment needs, utilities, and other facilities (e.g. waste management). 
  • Work closely with contingents, translating their pavilion needs into specific venue infrastructure, and acting as an intermediary between contingents, the Contingents Relation and Jamboree Site Department. 
  • During the World Scout Jamboree, manage and support the assigned ISTs within the National Pavilions area to ensure it remains operational and proactively maintained (e.g. fixing simple issues or reporting larger issues to maintenance teams). 
  • Act as the main point of contact for national contingents regarding their pavilion space, addressing concerns and helping resolve conflicts or logistical challenges as they arise. 
  • When needed, assist the Plaza Lead in managing the venue budget for the National Pavilions area, ensuring cost-effective use of resources and adherence to financial guidelines. 
  • Ensure the National Pavilions area meets health, safety, and sanitation standards, escalating concerns to the respective departments as needed. 

Plaza Stage Coordinator 

  • Coordinate the setup of the Plaza Stage, working with Jamboree Site Department and any contractors to ensure the space is properly built and equipped for scheduled activities. 
  • Create and manage the stage’s booking system, scheduling known bookings in advance (e.g. Programme and Guest Services departments’ activities) and accommodating ad hoc requests from other departments and contingents. 
  • Act as the first point of contact for contingents requesting stage time, checking in on their planned activity during booking and either confirming straightforward requests or consulting with the Contingents Relation department when there’s uncertainty about content. 
  • During the World Scout Jamboree, manage and support any assigned ISTs within the Plaza Stage area to ensure it remains operational and proactively maintained (e.g. fixing simple issues or reporting larger issues to maintenance teams). 
  • Work closely with Contingents Relation Department, who monitor stage activities in real time, to help address any issues that arise during contingent-led activities. 
  • When needed, assist the Plaza Lead in managing the venue budget for the Plaza Stage area, ensuring cost-effective use of resources and adherence to financial guidelines. 
  • Ensure the Plaza Stage area meets health, safety, and sanitation standards, escalating concerns to the respective departments as needed. 
  • Along with Plaza stage, support a small group of ISTs responsible for the support of the main Arena’s backstage. 

Applicant Profile

Skills and Experience: 

  • Venue Management Experience: Proven experience organizing or managing venues at large-scale events. 
  • Team Leadership: Experience in leading and supporting volunteers teams. 
  • Planning and Coordination: Strong ability to develop and coordinate the execution of operational plans. 
  • Stakeholder Collaboration: Ability to work closely with multiple departments and partners. 
  • Problem Solving: Practical and creative approach to managing real-time operational challenges. 
  • Communication: Excellent interpersonal and communication skills, with proficiency in English. 
  • Scouting Knowledge: Familiarity with the international Scouting environment and values is an advantage.

Applicants from Poland should meet the following requirements:  

  • active membership in the Polish Scouting & Guiding Association (ZHP)  
  • completed leader’s service in the previous year and an opinion of the relevant Regional Commissioner or Chief Commissioner (Komendant Hufca / Komendant Chorągwii / Naczelnik ZHP) 
  • positive experience of projects at least at regional level (domestic)  
  • ability to communicate freely in spoken and written English  

Applicants from abroad should meet the following requirements:  

  • Active membership in one of the organisations belonging to the World Organization of the Scout Movement (WOSM)  
  • a favourable opinion from the International Commissioner  
  • positive experience of projects at international level
