Subcamp Management Department

Operation Area:

Title: Subcamp Leader, Subcamp Management Department – Seeking Additional Candidates- Open until filled- do not delay.

Nature of engagement: Volunteer contract

Duration: From March 2026 until the end of the project in December 2027

Department description: The mission of the Department is to manage the subcamps effectively, ensuring they are well-equipped, safe, and foster a sense of community among participants.  

Responsibilities

• Be an active member of the Subcamp Management Department.
• Be responsible for all the aspects of the Subcamps daily operations, to include:
  • Site & logistics (Including but not restricted to; allocation and return of jamboree provided equipment, set up and stripping of unit sites, manage the toilets, showers & wastewater collection points)
  • Organisation (Including communications to units, allocation of units to pitches, smooth & calm arrivals and departures, unit Leader meetings, services offered by Subcamp reception and the management of the Subcamp office & reception)
  • Programme (Including planning and executing the free-time programme activities, the international event on the Subcamp, the Subcamp opening orientation game and the solidarity badge).
  • Safety & Wellbeing (Including overseeing the unit Subcamp experience, carry out welfare checks on units, liaise with medical and first aid patrols)
• Line manage a Subcamp team of:
  • Deputy Subcamp leader / Subcamp lead for organisation (1 X JPT)
  • Subcamp leads for site & logistics, programme, safety & wellbeing (3 X IST)
  • General Subcamp IST (22 X IST)
• Support the overall Subcamp operations acting as an intermediary management and communication level between the Hub Leader and Subcamp team.
• Work closely with all other members of the Subcamp Management team, to ensure effective, well organised and orderly Hubs and Subcamps.
• Ensure all Jamboree policies and procedures are being followed by participants and staff.

Commitments

• Attend regular Subcamp Management Team & Hub meetings, which will be mostly virtual with one/two in-person meetings per year. To be available for the following in-person meeting: 18 – 20 September 2026 venue likely to be in Poland.
• Attend JPT meetings – In person 7 – 9 May 2027 in Gdansk and several virtual meetings before the start of the WSJ.
• Follow up promptly to communication by email and slack.
• Have multiple hours available during the week on multiple days. The workload will increase in the run up to the event.
• Arrive at the Jamboree site several days before the event and stay couple of more days after Contingents leave (possibly 24 July to 15 August) TBC.
• Be committed to work in a multicultural, fast-paced environment.

Knowledge and Skills

• Scouting Knowledge: Familiarity with scouting principles and experience in large International Scout events is essential.
• Management skills: Excellent organisational and management skills.
• Communication Skills: Excellent communication and interpersonal skills, capable of working with a diverse team.
• Problem-Solving Abilities: Strong analytical and problem-solving skills, with the ability to handle complex logistical challenges. High attention to details.
• Team Player: Ability to work collaboratively as a coordinator, sharing responsibilities and decision-making within the Subcamp Management Department’s team.
• Knowledge of Outlook 365, MS Word, Excel, SharePoint, Teams operation

Background Experience

• Leadership Experience: Proven ability in leading teams, preferably in an international scouting or large event management context.
• Community Building: Demonstrated ability in organising activities and events that promote interaction and a sense of belonging.
• Experience in large International Scout events is essential, especially in the field of Hub/Subcamp operations.

Applicants from Poland should meet the following requirements:

• active membership in the Polish Scouting & Guiding Association (ZHP)
• completed leader’s service in the previous year and an opinion of the relevant Regional Commissioner or Chief Commissioner (Komendant Hufca / Komendant Chorągwii / Naczelnik ZHP)
• positive experience of projects at least at regional level (domestic)
• ability to communicate freely in spoken and written English

Applicants from abroad should meet the following requirements:

• active membership in one of the organisations belonging to the World Organisation of the Scout Movement (WOSM)
• a favourable opinion from the International Commissioner
• positive experience of projects at international level
• ability to communicate freely in spoken and written English

• arrangements for in-person meetings in Poland, covering transportation, accommodation, and visa costs
• a jamboree-specific email address and access to tools like Microsoft 365 and Slack for effective communication
• a Planning Team kit including scarf, T-shirt and other jamboree related merch
• a volunteer certificate at the end of your volunteer journey, acknowledging your contribution and dedication

• An endorsement letter from your International Commissioner that includes their favourable opinion on your profile and application for this role.
