Department description  

The International Service Team Support Department (IST Support) provides the resources, systems, and activities that enable IST members to contribute effectively to the Jamboree’s success, while fostering personal growth, community, and enjoyment. 

Section description 

The IST Job Allocation Section’s primary responsibility is to assign IST members to departments and support them in their assigned roles throughout the Jamboree, ensuring a safe and effective work environment. 

What you should expect

Responsibilities 

  • Develop trusted relationship network with the representatives who are the contact person to support ISTs in each NSOs and each Department. 
  • Communicate with those stakeholders to provide timely information for IST job allocation prior to arrival and onsite. 
  • Organize daily coordinator meetings for NSOs and IST Managers, onsite. 
  • Through communication and monitoring the network, report and share any potential issues and positive feedback among the IST Support Department. 
  • In addition to the above items, other roles may be added. 

Commitments 

  • Attending IST Support Department Meetings, which will be mostly virtual.  
  • Attending JPT meetings, which will be mostly virtual. 
  • Proactively communicate with key stakeholders via email, Slack and other tools and follow up promptly. 
  • Arriving at the Jamboree site several days before the event and staying one or more days after IST’s leave.

Knowledge and skills 

  • Developing network: Proficient in developing network with online tools, to ensure trusted partnership among the key stakeholders (each NSOs and Departments). 
  • Communication: Strong communication skills, both verbal and written on online tools such as Slack, MS365, to effectively convey information, engage with stakeholders, and foster collaboration. 
  • Schedule management: Effective schedule management requires strong discipline, particularly in coordinating with key stakeholders and ensuring clear internal communication to meet project timelines.  
  • Facilitation: Strong facilitation skills in the multi-cultural environment to lead the groups towards the unified goal “the Jamboree Success”. 
  • Feedback Management: Proficient in establishing and managing feedback mechanisms to gather input, fostering continuous improvement and refinement of support services with confidentiality.  
  • Organizational Skills: Excellent organizational abilities to manage multiple tasks and priorities effectively, ensuring timely completion of responsibilities and delivery of support services utilizing the IT tools. 
  • Problem-Solving: Demonstrates resilience, creativity, and resourcefulness in identifying and addressing challenges, ensuring smooth operation and success. 
  • Cultural Sensitivity: Awareness and understanding of cultural diversity, including knowledge of different languages, customs, and expectations, to effectively support participants from various backgrounds. 
  • Flexibility: If you find a ball, none of the team members be aware; it is your ball to pick up. Sometimes, you will own the ball.  

Background Experience 

  • The ideal candidate should have a background in event coordination or management, with experience in organizing large-scale events or programs, preferably with a focus on volunteer engagement. Therefore, candidates with personal experience as IST members or who have previously worked in teams responsible for managing ISTs (adult volunteers) during events like the World Scout Jamboree, Regional Jamboree, or similar large international gatherings would be highly valued. 
  • Additionally, experience in meeting facilitation, program administration, and volunteer initiatives such as trainer would be beneficial. Knowledge of Scouting or similar youth organizations, as well as cultural sensitivity and language skills relevant to the event’s participants, would also be advantageous. 
  • Moreover, familiarity with one’s own region, including knowledge of its culture, language, and expectations regarding the Jamboree as well as cultural sensitivity relevant to the event’s participants, would also be advantageous. 

Formal requirements 

 

We welcome applicants from both within Poland and abroad, each with their respective requirements: 

Applicants from Poland should meet the following requirements:  

  • active membership in the Polish Scouting & Guiding Association (ZHP)  
  • completed leader’s service in the previous year and an opinion of the relevant Regional Commissioner or Chief Commissioner (Komendant Hufca / Komendant Chorągwii / Naczelnik ZHP) 
  • positive experience of projects at least at regional level (domestic)  
  • ability to communicate freely in spoken and written English  
  • Proficient skill to communicate over “Slack” and “MS Office 365” on PC (not smartphones). 

Applicants from abroad should meet the following requirements:  

  • Active membership in one of the organisations belonging to the World Organization of the Scout Movement (WOSM)  
  • a favourable opinion from the International Commissioner  
  • positive experience of projects at international level  
  • ability to communicate freely in spoken and written English 
  • Proficient skill to communicate over “Slack” and “MS Office 365” on PC (not smartphones).
