Job title: Shared Services Section Lead, Venue Management Department, Jamboree Planning Team  

Nature of engagement: Volunteer contract 

Duration: From December 2025 until the end of the project in December 2027  

Department description:

The Venue Management Department is responsible for ensuring that all shared venues and key communal services across the Jamboree site are safe, well-equipped, and operationally effective. This includes managing common areas such as the Plaza, Food Houses, and Partner Venues, as well as overseeing essential shared services such as the Jamboree Post OfficeLost & Found, and Information Points. 

The Shared Services Section will be responsible for designing, developing, and implementing the operational concepts of the Jamboree’s shared services (Jamboree Post Office, Lost & Found, Information Points). This includes defining how each service will function, staffing models, infrastructure needed, participant experience design, and logistical coordination. 

What you should expect

Responsibilities:

  • Develop operational concepts and frameworks for shared services (Post Office, Lost & Found, Info Points).  
  • Plan staffing structures, workflows, and service logistics, infrastructure.  
  • Coordinate implementation of services during the Jamboree, ensuring consistent quality and reliability.  
  • Collaborate with other sections and departments to integrate shared services with broader site operations (e.g. transport, Jamboree site, communications).  
  • Supervise and support a volunteer team during the event.

  • Availability to arrive at the event earlier and depart from the Jamboree later than standard arrival/departure dates (specific date will be agreed later in the project planning)

Applicant Profile

Knowledge and skills:

  • Planning and Coordination: Strong ability to develop and coordinate the execution of operational plans.

  • Problem Solving: Practical and creative approach to managing real-time operational challenges. 
  • Communication: Excellent interpersonal and communication skills, with proficiency in English. 
  • Scouting Knowledge: Familiarity with the Scouting environment and values is an advantage. 

Background Experience:

  • Event Operations Experience: Proven experience organizing or managing participant services at large-scale events. 
  • Team Leadership: Experience in leading and supporting volunteer teams.

Applicants from Poland should meet the following requirements:  

  • active membership in the Polish Scouting & Guiding Association (ZHP)  
  • completed leader’s service in the previous year and an opinion of the relevant Regional Commissioner or Chief Commissioner (Komendant Hufca / Komendant Chorągwii / Naczelnik ZHP) 
  • positive experience of projects at least at regional level (domestic)  
  • ability to communicate freely in spoken and written English  

Applicants from abroad should meet the following requirements:  

  • Active membership in one of the organisations belonging to the World Organization of the Scout Movement (WOSM)  
  • a favourable opinion from the International Commissioner  
  • positive experience of projects at international level  
  • ability to communicate freely in spoken and written English
