Role Description

Job title: Lead, Day Visitors, Guest Services Department 

Nature of engagement: Volunteer contract 

Duration: from April 2026 until the project in December 2027 with an obligatory presence during the event.  

Role Purpose 

The Lead, Day Visitors is responsible for the overall planning, coordination, and delivery of the Day Visitors Programme at the 25th World Scout Jamboree 2027. The role ensures that all operational elements related to Day Visitors are effectively designed, resourced, and implemented, providing a safe, accessible, and meaningful experience that reflects the values of modern scouting while respecting the needs of Jamboree participants and the local community. 

The Lead acts as the primary point of accountability for the Day Visitors Unit within the Guest Services Department and provides strategic direction, operational oversight, and leadership to the team before and during the Jamboree. 

What you should expect

Key Responsibilities 

Strategic Planning and Coordination 

  • Coordinate with relevant departments to ensure seamless integration of registration, transport, safety, programme delivery, and communications related to Day Visitors. 

Leadership and Team Management 

  • Lead the Day Visitors Unit, including the recruitment, tasking, and supervision of Deputies responsible for IST management, administration, and programme delivery. 
  • Provide clear direction, decision-making, and issue resolution throughout the planning phase and on-site operations. 
  • Ensure effective communication, collaboration, and well-being within the Day Visitors team. 

Registration and Administrative Oversight 

  • Oversee the design, implementation, and delivery of the Day Visitors registration and ticketing system in close cooperation with the ACR team. 
  • Ensure clarity and consistency of information provided to visitors before and during the event. 
  • Supervise coordination related to Day Visitors packages, merchandise, and external information channels in cooperation with relevant partners. 

Operational Delivery 

  • Ensure the smooth execution of the Day Visitors journey, from arrival and check-in through on-site experience and departure. 
  • Monitor staffing levels, visitor flow, and operational performance across all Day Visitors touchpoints, including Check-in Centers, transport, and Plaza activities. 
  • Act as the escalation point for operational challenges, incidents, or exceptional cases related to Day Visitors. 

Safety, Accessibility, and Compliance 

  • Work closely with Safety & Security to manage crowd control, access limitations, and emergency procedures within designated Day Visitors areas. 

Monitoring, Evaluation, and Reporting 

  • Track performance against defined success indicators, including visitor feedback, participation levels, and accessibility outcomes.

Time Commitment 

  • Active involvement during the preparation phase leading up to the Jamboree, with increased engagement in the final months before the event. 
  • Full-time operational presence during the Jamboree period, including availability for extended hours as required. 

Formal requirements

Applicants from Poland should meet the following requirements: 

  • active membership in the Polish Scouting & Guiding Association (ZHP) 
  • completed leader’s service in the previous year and an opinion of the relevant Regional Commissioner or Chief Commissioner (Komendant Hufca / Komendant Chorągwi / Naczelnik ZHP) 
  • positive experience of projects at least at regional level (domestic) 
  • ability to communicate freely in spoken and written English

Applicants from abroad should meet the following requirements: 

  • Active membership in one of the organisations belonging to the World Organization of the Scout Movement (WOSM) 
  • a favourable opinion from the International Commissioner 
  • positive experience of projects at international level 
  • ability to communicate freely in spoken and written English
