Job title: Jamboree Regional Representative, Asia-Pacific Scout Region, Contingent Relations Department, Jamboree Planning Team 

Nature of engagement: Volunteer contract 

Duration:From January 2026 until the end of the project in December 2027

Department description:

The Contingent Relations Department (CRE) is responsible for establishing and maintaining strong relationships with all national contingents, ensuring their needs are met and their experiences are positive and enriching. The Jamboree Representatives for the Regions (JRR) will be the primary point of contact for Heads of Contingents (HoCs) and their Contingent Management Teams (CMTs) in their region. Each region will have two JRRs. JRRs will report to the JRR lead and the Heads of Contingent Relations Department (HoD).

The JRR plays an important role in the Contingent Relations Department and the Jamboree Planning Team (JPT). The JRR’s main goal is to help the Contingents in their region be prepared for the Jamboree, and to help them with the wide range of specific needs they may have before, during, and after the event.

The JRR will:

• Be the primary point of contact for HoCs, CMTs, and NSOs in the Asia-Pacific Scout Region.

• Guide Contingent Management Teams (CMTs) through policies, registration processes, and logistical requirements.

• Be a problem solver, using the network of Jamboree Organisation (JO) and other resources to find answers and provide resources to resolve questions and issues as they arise.

• Be proactive in building relationships with HoCs and CMTs in their region so that they can anticipate issues early on, and work with the CRE Team and JO to make necessary changes or accommodations. 

• Communicate with Contingents in their region and follow up on critical deadlines and information.
• Staff the CRE office on the Jamboree site and be available to Contingent leaders to assure a safe and positive Jamboree experience.
• Attend meetings such as the HoC meetings and JPT meetings both in preparation of the event as during the event and communicate with the contingent leaders in their region during the event.
• Assist with planning and management of HoC virtual and live meetings before the event.

Commitments:

• Before the Event: 3-5 hours per week
  – Having multiple hours on multiple days during the week to promptly communicate by email, Slack and other means of communication.
  – Attending Department Meetings, JPT Meetings and HoC Meetings.
• During the Jamboree: Full-time on-site support
  – You are expected to arrive at the Jamboree site several days before the event and stay on or more days after the Contingents leave.
• After the event: 2-3 hours per week
  – You are expected to be available to support Contingents and support the Department in reporting and evaluation of the Jamboree.

Knowledge and skills:

• Experience in international Scouting events (Jamboree, Moot and Regional events) and knowledge of how Scouting works in the world
• Excellent and diplomatic communication skills in English 
• Good communication skills in an additional WOSM language that is relevant for the Region will be an advantage 
• Ability to manage multiple stakeholders 
• Understanding of your Region’s cultural, social and logistical contexts 
• Ability to work in a diverse and multicultural team and to closely work together and divide tasks between the team for your Region 
• Ability to collaborate and build positive relationships with international Contingents 
• Knowledge of Outlook, Microsoft 365 (Word, Excel).

Background Experience:

• Experience in international Scouting events such as Jamboree, Moot and Regional Events.
• Experience as a HoC or CMT is preferred but not mandatory 
• Be an active member of a Member Organization within the Asia-Pacific Scout Region. 
• Experience with customer-service, problem-solving, and facilitation roles, either professional or in Scouting, or other NGO work, is a plus. 

Formal requirements:

Applicants should meet the following requirements:  

• Active membership in one of the organisations belonging to the World Organization of the Scout Movement (WOSM)  

• a favourable opinion from the International Commissioner  

• positive experience of projects at international level  

• ability to communicate freely in spoken and written English 

As a member of the Jamboree Planning Team (JPT), you’ll be vital to creating this exceptional scout event. We’re dedicated to supporting you fully, providing: 

• comprehensive support from the People Department for personal and professional growth, including access to JPT Academy sessions and workshops 

• a volunteer agreement outlining your contributions and responsibilities 

• arrangements for in-person meetings in Poland, covering transportation, accommodation, and visa costs 

• a jamboree-specific email address and access to tools like Microsoft 365 and Slack for effective communication 

• a Planning Team kit including scarf, T-shirt and other jamboree related merch 

• a volunteer certificate at the end of your volunteer journey, acknowledging your contribution and dedication

• An endorsement letter from your International Commissioner that includes their favorable opinion on your profile and application for this role.
