Duration: From December 2025 until the end of the project in December 2027 

Department description  

The International Service Team Support Department provides the resources, systems, and activities that enable IST members to contribute effectively to the Jamboree’s success, while fostering personal growth, community, and enjoyment.   

Role description 

Divisional Desk Officers (DDOs) form a key part of the Jamboree’s delegated decision-making and day-to-day operational structure. They act as the Division’s “eyes and ears” in the Operations Centre, ensuring fast, well-documented responses to issues and effective coordination with other divisions and functions.  

What you should expect (operational model): 

  • Operations Centre coverage: During the first 3–4 days of the Jamboree, the Division’s desk requires 24/7 coverage in shifts. After that, most divisions operate 07:00–19:00, with agreed critical operations maintained 24/7 and on-call availability for shorter-day teams.  
  • Trusted mandate: You will be trusted by the Head of Division to make routine decisions, solve problems independently, and escalate only when needed—always maintaining close communication with the Head of Division.

Responsibilities 

Operational situational awareness & triage 

  • Collate incoming information on divisional operations via phone, WeTrack, text, and other channels; maintain an up-to-date picture of activity.  
  • Identify “hot spots” and issues requiring attention; prioritise effectively in a live environment.  
  • Record accurately all incidents, decisions, and actions taken.  

Problem solving & coordination 

  • Liaise with other Divisional Desk Officers to align priorities and allocate shared resources rapidly and efficiently.  
  • Proactively resolve day-to-day issues at the lowest appropriate level, partnering with peers across desks.  
  • Use sound judgement to escalate matters to the Duty Jamboree Director team when required.  

Division interface & communication 

  • Maintain tight coordination with the Head of Division and section leads; ensure information flows both ways (plans, risks, changes).  
  • Support divisional routines (e.g., handovers, briefings, updates) and align with Operations Centre protocols. (Structure and routines per operations templates.)  

Commitments 

  • Attend divisional and cross-functional operations meetings (mostly virtual pre-event; in-person/virtual on site).  
  • Be available for shift work (covering 24 h during the opening 3–4 days). 
  • Follow up promptly via email and Slack; use the agreed collaboration stack (e.g., Microsoft 365, Slack, WeTrack).  
  • Arrive on site several days before opening and remain for stand-down as required. 

Applicant Profile

Knowledge and skills 

  • Information handling: Able to collate and analyse inputs quickly, identify priorities, and make clear, timely decisions. 
  • Communication: Excellent, calm communicator (written/spoken), comfortable on radio/phone and in live triage with multiple stakeholders. 
  • Organisation under pressure: Highly organised; able to sustain performance over extended, high-tempo periods. 
  • Collaboration: Proven ability to work across teams and share information to enhance collective outcomes.  
  • Problem-solving mindset: Proactive, ownership-oriented; knows when to escalate. 
  • Digital tools: IT-literate; able to type quickly and accurately; comfortable with Slack/SharePoint/WeTrack/WhatsApp. 
  • Languages: Fluency in English; additional languages welcome in an international environment. 

Background Experience 

  • Strong understanding of Jamboree operations and divisional responsibilities; ideally appointed from within the existing JPT to leverage context and trust. 
  • Experience in volunteer management, customer service, finance, or incident/problem management (Scouting/NGO/professional).  
  • Demonstrated ability to work on own initiative and deliver results; familiarity with budgets/reporting is a plus (for interface with Ops/Support).

Applicants from Poland should meet the following requirements:  

  • active membership in the Polish Scouting & Guiding Association (ZHP)  
  • completed leader’s service in the previous year and an opinion of the relevant Regional Commissioner or Chief Commissioner (Komendant Hufca / Komendant Chorągwii / Naczelnik ZHP) 
  • positive experience of projects at least at regional level (domestic)  
  • ability to communicate freely in spoken and written English  

Applicants from abroad should meet the following requirements:  

  • Active membership in one of the organisations belonging to the World Organization of the Scout Movement (WOSM)  
  • a favourable opinion from the International Commissioner  
  • positive experience of projects at international level  
  • ability to communicate freely in spoken and written English
