Job title: Deputy Hub Lead (Safety / Wellbeing & Site / Logistics), Subcamp Management Department (4 positions)

Nature of engagement: Volunteer contract

Duration: From November 2025 until the end of the project in December 2027

Department description: The mission of the Department is to manage the subcamps effectively, ensuring they are well-equipped, safe, and foster a sense of community among participants.  

What you should expect

Responsibilities

  • Be an active member of the Subcamp Management Department.
  • Working closely with the Lead of Safety & Wellbeing, be responsible for the Safety & Wellbeing aspects of the hub and its four subcamps daily operations (Including the design & unit awareness of the safety evacuation plans, ensuring evacuation corridors are maintained, oversee unit’s subcamp experience, carry out welfare checks on units, liaise with medical and first aid patrols within the hub and its four subcamps).
  • Working closely with the Lead of Site & Logistics, be responsible for the Site & Logistics aspects of the hub and its four subcamps daily operations (Including allocation and return of jamboree provided equipment, set up and stripping of unit sites, manage the toilets, showers & wastewater collection points).
  • Working closely with the Leads of Safety & Wellbeing, Site & Logistics and IST, coordinate training on Safety & Wellbeing, Site & Logistics for the hub and its four subcamps staff.
  • Support volunteers in the Safety & Wellbeing, Site & Logistics lead roles with the hubs four subcamps.
  • Work closely with all other members of the Subcamp Management Team, including other hubs teams and subcamps teams, to ensure effective, well organised and orderly hubs and subcamps.
  • Ensure all jamboree policies and procedures are being followed by participants and staff.

Commitments:

  • Attend regular Subcamp Management Team meetings, which will be mostly virtual with one/two in-person meetings per year. To be available for the following in-person meetings: 7 – 9 November 2025 in London and 26 – 28 June 2026 venue TBC.
  • Attend JPT meetings – In person 7 – 9 May 2027 in Gdansk and several virtual meetings before the start of the WSJ.
  • Follow up promptly to communication by email and Slack.
  • Have multiple hours available during the week on multiple days. The workload will increase in the run up to the event.
  • Arrive at the Jamboree site several days before the event and stay couple of more days after Contingents leave (possibly 24 July to 15 August)
  • Be committed to work in multicultural, fast-paced environment.

Applicant Profile

Knowledge and skills:

  • Scouting Knowledge: Familiarity with scouting principles and experience in Scout events is highly desirable.
  • Management skills: Excellent organisational and management skills.
  • Communication Skills: Excellent communication and interpersonal skills, capable of working with a diverse team.
  • Problem-Solving Abilities: Strong analytical and problem-solving skills, with the ability to handle complex logistical challenges. High attention to details.
  • Team Player: Ability to work collaboratively as a coordinator, sharing responsibilities and decision-making within the Subcamp Management Department’s team.
  • Knowledge of Outlook 365, MS Word, Excel, SharePoint operation

Background Experience:

  • Leadership Experience: Proven ability in leading teams, preferably in a scouting or event management context.
  • Community Building: Demonstrated ability in organizing activities and events that promote interaction and a sense of belonging.
  • Experience in Scout events is highly desirable, especially in the field of hub/subcamp operations.

  • completed leader’s service in the previous year and an opinion of the relevant Regional Commissioner or Chief Commissioner (Komendant Hufca / Komendant Chorągwii / Naczelnik ZHP)
  • positive experience of projects at least at regional level (domestic)
  • ability to communicate freely in spoken and written English

  • active membership in one of the organisations belonging to the World Organisation of the Scout Movement (WOSM)
  • a favourable opinion from the International Commissioner
