Department description  

The International Service Team Support (IST Support) enables IST members to contribute effectively to the Jamboree while fostering personal growth, community and enjoyment. The department provides resources, coordination, and day-to-day support. 

Section description 

Eagle Patrol is a mobile, rapid-response IST team. Members are not assigned to one fixed post each day. Instead, they are deployed where extra hands are needed most—covering staffing gaps, handling short-notice tasks, reinforcing busy areas, solving small logistical issues, and providing office/administrative support. The team moves quickly, works cheerfully under changing priorities, and helps ensure operations run smoothly across the site. 

What you should expect

Responsibilities 

  • Line-manage IST Eagle Patrol Leaders, providing clear priorities, feedback and support. 
  • Oversee and coordinate a flexible, roving “first-responder” team to cover staffing gaps and urgent needs, including office/administrative tasks. 
  • Run daily leadership rhythms: facilitate Eagle Patrol Leader briefings; confirm deployments; track handovers. 
  • Plan and manage the rota (shifts, on-call coverage, replacement plans). 
  • Maintain service standards: ensure every IST is treated with respect and feels supported and valued. 
  • Solve logistical challenges in cooperation with other teams; escalate when needed. 
  • Monitor welfare and performance: spot issues early, provide recognition, and arrange extra support or mentoring where required. 

Commitments 

  • Attend IST Support Department meetings (mostly virtual). 
  • Attend JPT meetings as required (virtual and in-person). 
  • Respond promptly to email and Slack communication. 
  • Arrive on site several days before the event and remain one or more days after IST departure. 

Applicant Profile

Knowledge & skills (essential) 

  • Communication & coordination: clear briefings, active listening, constructive feedback; confident cross-team liaison. 
  • Customer-service mindset: treats ISTs as partners; empathetic, responsive, solutions-focused. 
  • Operational leadership: shift/rota planning, rapid redeployment, task tracking, handovers, and on-the-day problem solving. 
  • Logistics awareness: moving people/equipment efficiently; basic site ops; working with Info/Office/Admin to close gaps. 
  • Risk & safety: dynamic risk assessment, timely escalation, safeguarding awareness; knows when to pause or re-task. 
  • Tools & systems: confident with Slack (or equivalent), task boards/SharePoint/Docs, basic spreadsheets for rotas and coverage. 
  • Time management: prioritises, delegates, meets deadlines; keeps records and follows up. 
  • Languages: fluent English (spoken/written); additional languages welcome. 
  • Team culture: positive attitude, resilience, discretion; supports inclusion and wellbeing. 

Background & experience (preferred) 

  • Prior IST or event Ops experience (WSJ/Moot/Regional Jamboree or similar), or roles in volunteer management/HR/customer service/logistics. 
  • Experience leading small teams in fast-changing environments and delivering results with limited resources. 
  • Familiarity with the host region/culture is an advantage.

Formal requirements

Applicants from Poland should meet the following requirements:  

  • active membership in the Polish Scouting & Guiding Association (ZHP)  
  • completed leader’s service in the previous year and an opinion of the relevant Regional Commissioner or Chief Commissioner (Komendant Hufca / Komendant Chorągwii / Naczelnik ZHP) 
  • positive experience of projects at least at regional level (domestic)  
  • ability to communicate freely in spoken and written English  

Applicants from abroad should meet the following requirements:  

  • Active membership in one of the organisations belonging to the World Organization of the Scout Movement (WOSM)  
  • a favourable opinion from the International Commissioner  
  • positive experience of projects at international level  
  • ability to communicate freely in spoken and written English
